Refund & Cancellation

1. Summary

We also offer a 14-day free trial with no credit card required, so you can evaluate the Platform thoroughly before paying anything.

2. The 30-Day Money-Back Guarantee

• What it covers. The first subscription payment made by your organisation for DeltaBooks.
• Window. The request must reach us within 30 calendar days of the date of that payment.
• Amount. The full amount paid, including GST, is refunded.
• Reason. None required. You do not need to justify the request.
• Data. Your data remains accessible while the refund is processed, so you can export anything you need. See clause 7.

3. What Is Not Covered

• Renewals. Payments for subsequent subscription terms after your first.
• Upgrades and additional purchases made after your first subscription.
• Requests made after the 30-day window has closed.
• Partial periods. We do not pro-rate unused time on a subscription that has run beyond the guarantee window.
• Accounts terminated for breach of our Terms & Conditions.
• Repeat claims. Where an organisation, or connected organisations, have previously claimed the guarantee.

4. How to Request a Refund

Email support@virtualca.in from the email address registered on your account, with:

• your registered email address and organisation name;
• the payment reference or invoice number (available in your account under billing history);
• the date and amount of the payment.

We will acknowledge your request within 48 hours.

5. Refunds Outside the Guarantee

Outside the guarantee window, refunds are considered at our discretion, on a case-by-case basis. We will normally issue a refund where:

• you were charged in error, or charged twice for the same subscription term;
• a payment was deducted but the subscription was not activated;
• a core feature of the plan you paid for became unavailable for a prolonged period and we were unable to restore it.

Write to support@virtualca.in with the details and we will review the circumstances fairly.

6. Processing Time & Method

• Approved refunds are initiated within 5 to 7 business days of approval.
• Refunds are credited to the original payment method and account used for the purchase. We cannot refund to a different account or instrument.
• After we initiate the refund, your bank or card issuer typically takes a further 5 to 10 business days to credit the amount. This part of the timeline is controlled by your bank, not by us.
• A credit note is issued against the original GST tax invoice and made available in your account.

7. Cancellation

• You may cancel your subscription at any time from your account, or by writing to support@virtualca.in.
• Cancellation stops any future renewal. It does not, by itself, trigger a refund of the current term.
• On cancellation you retain access to paid features until the end of the term you have paid for. Where cancellation accompanies a refund under clause 2, access ends when the refund is processed.
• You may export your data at any time while the subscription is active, and for 30 days after it ends. After that period, data may be deleted or anonymised as set out in our Privacy Policy.

8. Cancelling During the Free Trial

No payment is taken to start a trial, so there is nothing to cancel or refund. If you take no action, the trial simply expires after 14 days and paid features become unavailable. Your data is retained in line with clause 7 so that nothing is lost if you subscribe later.

9. Changes to This Policy

We may update this policy from time to time. The version in force at the date of your payment is the one that applies to that payment. The “Last updated” date at the top of this page reflects the current version.
